1. Who We Are

SoliEarth Infrastructure Systems Inc. ("SoliEarth", "we", "us" or "our") provides the QualitySignoff software. This policy explains what information we collect, why, and how we handle it.

2. Your Project Data Is Yours

Project information uploaded to or recorded in the software, such as documents, forms, inspection records, photos, videos and sign-offs, belongs to your organization. We use it only to provide the software to you. We do not sell it.

3. What We Collect

• Account details: name, work email, phone number, organization, role, and any professional designation you choose to enter.
• What your people record: form answers, measurements, notes, photos, videos and, when the person allows it, the phone's location at the time of recording.
• Activity records: who created, changed, reviewed or signed a record, and when. We keep these so the records show who did what.
• Messages you send us: if you email us, we keep the email to reply to you.

4. Where Data Is Stored and Processed

The software runs on Google Cloud and Firebase, operated by Google. Data is sent over encrypted connections (HTTPS), and Google encrypts stored data by default.

5. AI Features

When your organization uses AI features, the content needed for that feature, such as your instructions or a document you choose, is sent to Google's Vertex AI service to produce the result. Which AI features are available depends on the tier in your organization's agreement. At the lowest tier the AI does not read your project documents.

6. Who Can See Your Data

Each organization's data is kept separate. Within a project, people see what their role allows. Your organization's administrators decide who has access. Our staff access customer data only when needed to support or operate the software.
